Position Summary

Reporting to the Director, Enforcement, the Discipline Coordinator is responsible for coordinating discipline processes for APEGA resulting from disciplinary actions as outlined in Part 5 Discipline of the EGP Act and Part 6 of the General Regulations. This includes case management, case filing, document management, volunteer management, event and hearing coordination, statistics and metrics compilation, letter/email preparation and mail outs, minute taking and agenda preparation, preparation of presentation materials, policy and standards research and development, and stakeholder coordination, communication, and management.

Responsibilities

  • Work independently and proactively to manage discipline cases to ensure the Enforcement department and APEGA objectives of timeliness, fairness, transparency, due process, and administrative law are achieved
  • Work with the Director, Enforcement, and other APEGA departments to develop, research, and improve discipline processes, including guidelines and policy development
  • Diligently ensure documents are prepared and processed in a timely manner, and important documents (including record keeping) are maintained (including emails, transcripts, meeting minutes, agenda, etc.) to legal standards
  • Create and execute processes to ensure discipline outcomes are tracked, including order follow-up
  • Manage and communicate with volunteers on the Discipline Committee, including scheduling of hearings, committee meetings, answering questions, etc.
  • Work effectively and thoroughly to meet department targets for case closures and completions
  • Actively collaborate with the development, documentation, and education of the department's policies, processes, and procedures, including communication with other departments within APEGA as required
  • Actively participate in the development and implementation of discipline initiatives
  • Rectify and follow-up with issues or concerns raised, escalating when necessary

Qualifications

  • Post-secondary diploma in a related field (paralegal, enforcement, etc.)
  • 4-5 years of administrative and/or paralegal experience in supporting a professional leader in program delivery and experience working with committees/boards/tribunals in a professional environment
  • Exposure to environments that have legislative or regulatory authorities will be considered an asset
  • Experience working with Microsoft Office and/or various databases or systems is required
  • Strong communication and language skills is required
  • Equivalencies may be considered
